Payments
Take payment through your Shopify (online checkout or Shopify POS) or your Lightspeed till, or mark it paid at the counter.
A booking's money is a list of charges: the rental per rider, add-ons, deposit, and anything added later (late fees, damage, extensions). Taking payment settles what's still owed, as one payment.
Three ways, whichever you've connected:
| Online | At the counter | |
|---|---|---|
| Shopify | A checkout link, copied or emailed | On Shopify POS |
| Lightspeed | On your Lightspeed till | |
| Neither | Mark each charge paid |
Shopify
Settings → Payments through Shopify (owner): type your store and Connect with Shopify, then approve the notjust. app. If Workshop already uses it on this store, it's the same app.
On a booking:
- Payment link: copies Shopify's checkout link. Email it sends it to the customer.
- Send to POS: makes it an order, payment pending. Open it on Shopify POS and take payment there.
- When Shopify says it's paid, the charges are marked paid by themselves. Check payment asks Shopify straight away.
Payments are sent with the booking number, and tagged notjust. cycles in Shopify, so they're easy to find.
Use your own Shopify app
For a store with its own Dev Dashboard app: Or use an app you made yourself. Give the app write_draft_orders, write_orders and read_customers, release it and install it on your store, then paste its Client ID and Client secret. Cycles renews its access by itself.
Lightspeed till
Settings → Lightspeed (owner connects; managers set it up): Connect Lightspeed, sign in and approve the notjust. app. Then pick the Register and who Sales made as. If Workshop already uses it with this store, it's the same connection.
On a booking, Put on the Lightspeed till makes a parked sale on that register, one line per rider, add-on, deposit and charge, with the customer found or added in Lightspeed. Staff open it at the till and take payment as usual. It shows paid in Cycles by itself (or press Check payment). Update the till brings the sale up to date after the booking changes.
Put confirmed bookings on the till by themselves: every confirmed booking goes on the till without anyone pressing anything.
Marking it paid
With nothing connected, or for cash, each charge has Mark paid.
Refunds and deposits back
Always from the booking: Charge or refund, then Refund or Deposit returned. The money goes back the way it was paid:
| Paid through | What happens |
|---|---|
| Shopify | Refund refunds it through Shopify, straight back to the card or method they paid with. Tick Email the customer Shopify's refund receipt if you want |
| Lightspeed | Record notes it on the booking. Refund it on the till against the booking's sale, then press Refunded on the till |
| At the counter | Record notes it on the booking; give it back the way they paid |
You can't give back more than was paid.
