Booking a job in (drop-off)

Book a job in at the counter in under a minute: the customer, the item, the safety check, a deposit and the waiver, into the queue. With or without Shopify.

Drop-off books a job in and puts it in the queue straight away. With Shopify connected (Connected plan) it also makes the job's draft order, so nobody types it on the POS. Without Shopify, see Without Shopify.

Book a job in

  1. On the board press Drop off.
  2. Template: pick the kind of job ("Mechanical", "Electrical"). Its products fill Items and checks. No template? Add products below instead.
  3. Customer: search Shopify by name, email or phone, and pick them. Someone new: New customer, added to Shopify, then name, phone and email.
    • Type phones the usual way (0412 345 678). Workshop sends them to Shopify as +61.
    • Searching 0412… finds customers saved as +61412….
  4. Item: what they left (your word from Settings, such as "Bike"). Type the identifier of an asset on file and the job is linked to it. See Assets.
  5. Items and checks: write a note under each item as you check it: "OK", "needs tightening". Press Tab or Enter to jump to the next item's note.
  6. Notes: what the customer asked for, and when they need it back.
  7. Optional: take a deposit.
  8. Press Drop off. The draft order is made in Shopify and the job is in the queue.

If the shop asks for a waiver and this customer hasn't signed one that still covers them, the waiver step comes next. See Getting it signed at the counter.

With customer emails on and an email on the job, the customer is thanked straight away, told how long jobs usually take, and given a link to follow the job. See Customer emails.

Without Shopify

Every plan can book jobs in, with no store connected.

  1. On the board press Drop off.
  2. Job: pick the kind of job (your job titles, from Settings → Jobs and staff groups).
  3. Customer: their name, and a phone and email if you have them. The email gets the drop-off and ready emails.
  4. Item: what they left.
  5. What they asked for: the work, anything you noticed, when they need it back.
  6. Press Drop off. The job is in the queue for someone to take.

If the customer still needs to sign the waiver, it comes next, the same as with Shopify. Parts, labour and the total go on the job itself: see The job sheet without Shopify. Deposits and templates need Shopify.

Take a deposit

  1. Tick Take a deposit and check the amount. It starts at the amount set in Settings → Drop-off → Deposits.
  2. Press Drop off. The deposit becomes its own small order, already waiting for payment.
  3. On the Shopify POS, open Orders, find it and charge it.
  4. Back in Workshop tap I've charged it. Workshop checks with Shopify and shows it paid on the job.

You can close the window before charging: the board shows Deposit due until the payment arrives.

When the job is finished, the paid deposit is taken off its order, so the customer pays only the balance. A deposit that was never paid is cancelled at finish, and the customer pays the full amount.

Set up templates

Settings → Drop-off → Templates. One per kind of job:

  • Name: what staff pick ("Mechanical").
  • Products: the lines the job starts with, found by name or SKU, or custom items. They're the checklist staff note against.
  • Draft order tags: the tags the draft gets. Use your job-group tags (like workshop) so the job counts in the right group on the board and dashboard.

Reorder templates with the arrows: drop-off lists them in this order.
