The job board
Every live job in one place, one column per status, with the queue of jobs waiting to be taken.
The board is the shop floor on a screen. It opens first when you sign in, refreshes itself, and works with a mouse, a finger or a keyboard.
How it's laid out
- Queue (left): jobs waiting for someone to take them. Drop-offs and draft orders tagged as workshop jobs in Shopify land here, oldest first.
- One column per status in the order set in Settings: Booked, In progress, your own ("Waiting for parts"), Completed.
- Header: how many jobs are active and what they're worth.
Each card shows the job number and time, the item and job title, the customer, the draft or order name, minutes booked (or billed), its value once Shopify has synced, and the staff member's colour dot.
Chips on a card:
- Waiver: signed, or waiting on the customer. See Waivers.
- Deposit: paid, or due while the POS hasn't taken it. See Deposits.
- Waiting for pickup: finished, its order not paid yet.
Take a job from the queue
Press Take job on a queued job and pick who's taking it. Only people in the job title's staff group are offered (mechanics if it has none).
Taking a job starts it now: it's booked to that person from this minute for the job title's usual length, even after closing, so it stays on today. To move it to another time, drag it on the calendar afterwards.
Open a job
Click a card to open its job sheet. The … menu has everything else:
| Menu item | What it does |
|---|---|
| Job sheet | Items, notes, timer |
| Messages | Texts and WhatsApp with the customer. See Customer messages |
| Back to queue | The booking goes; the job waits again with its draft and notes |
| Send invoice | A finished job: emails Shopify's invoice, with its pay link, again |
| Archive | Takes a finished job off the board (it stays everywhere else) |
| Move to | Any status, without dragging |
| Delete job | Managers and owners. Deletes the job and its open draft order in Shopify; if a deposit was paid, you're reminded to refund it |
Change a job's status
Drag the card to another column, or use … → Move to. It's the same as changing it on the calendar:
- If the move would email or text the customer, you're asked first: Send, Don't send, or Cancel to leave it where it was. See Before anything goes out.
- Moving to Completed finishes the job in Shopify. See Finishing jobs.
Find, filter and sort
- Search jobs: by customer, job, item or number. Finished jobs that have left the board are found too, marked Archived.
- Any mechanic: one person's jobs.
- Job type: your job groups (Workshop, B2B…), Rental and Other.
- Sort: oldest first, newest first, job number, or customer.
- Show columns: hide columns you don't need, or hide empty ones.
Filters, sort and hidden columns are kept on that device, so the counter tablet and the workshop screen can each show what they need.
When finished jobs leave the board
| Finished job | Stays on the board |
|---|---|
| Paid (and internal jobs, paid when finished) | The rest of the day it was finished or paid, whichever is later; cleared at midnight |
| Not paid yet (waiting for pickup) | Until it's paid, up to 120 days |
| No order at all | 7 days |
Archive takes one off sooner. Nothing leaves by itself on the day it's paid, even with auto-fulfil on.
The board refreshes itself every 20 seconds, so a payment taken on the POS shows up without reloading.
Remove a job from the queue
A queued job's menu has Delete (managers and owners), which deletes the waiting job and its draft order in Shopify.
