Setting up Workshop

The order to set Workshop up in, so the first job you book in goes all the way through.

Do these in order. Each takes a few minutes, and the board's first-run checklist ticks them off as you go.

1. Business details and hours

Settings → General. Business name, logo, time zone, and when you open and close. The calendar starts and snaps to these. Set how often bookings may start (every 15 or 30 minutes, for example) and which day the week starts on.

2. What you look after

Settings → General → What you look after. Bikes, vehicles, scooters, equipment: the word you pick is used everywhere (the Assets page, job forms, customer emails), and the types you list are offered when adding one.

3. Job titles

Settings → General → Job titles. The kinds of job you do ("Service", "Brake bleed", "Rental return") with how long each usually takes and which staff group does it. Taking a job books it for this length, and only people in that group are offered it.

4. Staff

Settings → Staff. Add everyone who does work, with their staff group (Mechanic, Sales Staff, Rental Staff, or your own), calendar colour and working days and hours. See Staff, team and roles.

5. Statuses (optional)

Settings → Jobs and staff groups. The board has one column per status. The built-in ones are Booked, In progress, Completed, Cancelled and No show. Add your own, such as "Waiting for parts", and put them in board order. See Settings.

6. Connect Shopify (Connected plan)

Settings → Integrations → Shopify. With a store connected, drop-off and the job sheet write to Shopify drafts, and you get deposits, invoices, inventory and the dashboard's money. Without it, drop-off and the job sheet work in Workshop itself. See Connect Shopify and Drop-off without Shopify.

7. Drop-off templates

Settings → Drop-off. One template per kind of job ("Mechanical", "Electrical"): the products a job is booked in with, as a checklist to note against, and the tags its draft order gets. See Drop-off templates.

8. Invite your team

Settings → Team. Invite by email and pick a role. See Roles.

9. Book your first job in

On the board press Drop-off. Follow it through: take it, open its job sheet, finish it, and take payment on the POS. That's the whole loop; everything else builds on it.
