Finishing jobs, pickup and payment

What happens when a job is finished, how the customer pays, and how paid jobs clear themselves off the board.

Finish a job

Move the job to Completed on the board, or open it on the calendar and press Finish job (Mark complete for a job with no draft order). On the calendar, finishing a draft job asks what was done; it's added to the notes after what came in at drop-off.

If finishing would email the customer (the ready email, Shopify's invoice) or text them, you choose Send or Don't send first. See Before anything goes out.

A job finished before its booked time is moved to end now, so it counts on the day the work was done.

What happens in Shopify

If Shopify refuses (a missing permission, a deleted draft), the job isn't marked finished and you're told why, so nothing is half done.

Finished in Shopify instead

Completing the job's draft order on the Shopify POS (paid, or as payment pending) finishes the job in Workshop too: it moves to Completed with its order, within seconds. Nobody is emailed or texted, because it wasn't done in Workshop.

Pickup and payment

A finished customer job waits on the board as Waiting for pickup until its order is paid. The customer can pay:

  • At the counter: on the Shopify POS, open Orders, find the order and charge it.
  • Online: Shopify's invoice email has a pay link (sent at finish when Invoices is on). Send invoice sends it again, from a finished job's … menu on the board or from the job on the calendar.
  • By Podium payment link: when paid, Workshop marks the Shopify order paid. See Podium.
  • By bank transfer: the "ready to collect" email can include your bank details and the job number as reference.

Auto-fulfil paid jobs

Settings → Drop-off → When the customer pays. Turn it on and each job's order is fulfilled in Shopify once it's paid, without emailing the customer. Only orders Workshop made for its own jobs are touched.

It needs the write_merchant_managed_fulfillment_orders permission on your Shopify connection; Settings says so if it's missing.

Whatever this setting, a paid (or fulfilled) job stays in Completed for the rest of the day, then leaves the board after midnight. Board search still finds it.

Completion tags

Settings → Integrations → Shopify → Tags when a job is finished. The tags a finished job's order gets: the staff member's name (on by default), tags for every job, and tags for particular job titles ("Rental return" gets rental). The dashboard's per-person figures read the name tag.
